1. What Job Pulse is

Job Pulse is a subscription web application for construction contractors. It provides job costing and profitability tracking, AIA-style applications for payment, time-and-materials billing, and accounts-receivable tracking. Each customer company has its own isolated workspace; users belong to exactly one company.

2. Information we collect

Account information.Names, email addresses, roles, and sign-in credentials (passwords are stored only as salted hashes) for each company’s users.

Company and job data you enter. Customers, jobs, scopes of work, cost entries, schedules of values, change orders, pay applications, invoices, receipts, documents you upload, and similar business records you or your team create in Job Pulse.

QuickBooks Online data (only if you connect QuickBooks). When a company owner or administrator connects the company’s QuickBooks Online (“QBO”) account, Job Pulse accesses:

  • Company information and settings (company name, enabled features such as Projects, class and location tracking, and the books closing date);
  • Customers, sub-customers and projects; items, accounts, classes, locations (departments), vendors, and employees — used as reference data to match QuickBooks records to Job Pulse jobs and cost codes;
  • Bills, purchases (checks, credit-card and cash expenses), vendor credits, journal entries, and time activities — used as job costs;
  • Invoices, credit memos, payments, and deposits — used to keep billing status and receivables in Job Pulse in agreement with QuickBooks.

Job Pulse also writes data to QuickBooks at your direction: invoices for pay applications and T&M invoices you submit in Job Pulse (including the pay-application PDF as an attachment), sub-customers for jobs you choose to create in QuickBooks, credit memos for corrections, and — only if your company enables it — payments you record in Job Pulse.

Job Pulse does not access QuickBooks Payroll paycheck detail, does not ask for or store your QuickBooks password, and connects only through Intuit’s OAuth authorization.

Usage and technical data. Server logs (timestamps, actions, error information) needed to operate, secure, and troubleshoot the service. OAuth tokens are never written to logs.

3. How we use information

We use the information above only to provide and support the service: to run your workspace, sync with QuickBooks as described, send account and notification emails, secure accounts, comply with law, and improve reliability. We do not sell personal information, and we do not use your QuickBooks data for advertising or for any purpose unrelated to serving your company.

4. How information is shared

We share information only with the service providers that run Job Pulse, and only as needed to operate it:

  • Railway — application and database hosting.
  • Resend — transactional email delivery (for example, account setup and password emails). QuickBooks financial data is not sent through email.
  • Intuit — when you connect QuickBooks, data flows between Job Pulse and QuickBooks under your authorization, as described in Section 2.

We may disclose information if required by law or to protect the service and its users. If the business is ever sold or merged, information may transfer to the successor under this policy’s terms.

5. Security

  • All traffic uses HTTPS (TLS 1.2 or better).
  • QuickBooks OAuth access and refresh tokens are encrypted at rest using envelope encryption (AES-256-GCM); the master key is held only in a protected environment variable on our hosting platform, never in code or in the database, and tokens are never logged.
  • Access to each company’s data is restricted to that company’s authorized users; only company owners and administrators can connect, change, or disconnect QuickBooks.
  • No method of transmission or storage is completely secure; we work to protect your information using commercially reasonable measures.

6. Retention and deletion

  • Your company’s Job Pulse records are retained while your subscription is active.
  • If you disconnect QuickBooks, we revoke and delete the stored QuickBooks tokens immediately. Synced QuickBooks data that exists only because of the connection is deleted 30 days after disconnect unless you reconnect or ask us in writing to retain your Job Pulse records.
  • If you close your company’s Job Pulse account, your company’s data is deleted 30 days after closure.
  • You may request deletion of your company’s data at any time by contacting support@jobpulsenow.com; we will confirm what was deleted.

7. Your choices

  • You can disconnect QuickBooks at any time in Settings; sync stops and tokens are deleted as described above. You can also revoke Job Pulse’s access from within QuickBooks.
  • You can ask us to correct or delete personal information by contacting support@jobpulsenow.com.

8. Children

Job Pulse is a business tool and is not directed to anyone under 18.

9. Changes to this policy

We will post changes on this page and update the effective date; material changes affecting QuickBooks data use will be announced to company owners/admins by email before they take effect.
